Refund & Cancellation Policy

This policy explains how customers can request refunds, cancellations, or contract adjustments for services provided by Microtrol Technologies Ltd.. It is published to meet payment provider and consumer transparency requirements.

How to request a refund or cancellation

  1. Email info@microtrol.com with your name, company, contract or invoice reference, and reason for the request.
  2. We acknowledge receipt within 1–2 business days.
  3. We review the request against the signed contract and work delivered to date.
  4. We respond in writing with our decision and any applicable refund amount or next steps.

Deposits and milestone payments

Deposits cover mobilisation, planning, and reserved capacity. If a project is cancelled by the customer after work has started, non-refundable amounts and work-in-progress charges apply as set out in the contract.

Fixed-scope projects

  • Cancellation before kick-off: deposit may be refunded minus reasonable administrative costs unless otherwise stated in the contract.
  • Cancellation after kick-off: fees for completed milestones and committed third-party costs are non-refundable.
  • Undelivered future milestones may be cancelled in accordance with the contract notice period.

Time-and-materials support

Support retainers and hourly work may be cancelled with 30 days' written notice. Unused prepaid retainer balances are refunded pro-rata unless consumed or committed.

Defective deliverables

If deliverables do not meet agreed acceptance criteria, notify us promptly. We will investigate and, where appropriate, remedy defects or agree a fair adjustment under the warranty terms in your contract.

Chargebacks

Please contact us before initiating a payment chargeback so we can resolve the issue directly. Unresolved disputes may be handled under the governing law in our Terms & Conditions.

Processing time

Approved refunds are returned to the original payment method within 14 business days unless a different timeline is agreed or required by law.
